Create one factual record of the business

Start with an internal record of the facts that customers need to identify and evaluate the business. Include the trading name, official website, contact routes, real locations, services, coverage, operating hours and named responsibility for updates. Separate facts from positioning language: a verified service is different from a claim to be the best provider.

Add qualifications and relationships carefully. Record who holds a credential, what it covers and where it can be verified. A supplier relationship, an employee qualification and a company authorization are not interchangeable. Publish only the interpretation the underlying evidence supports.

This record does not replace clear pages. It gives writers, staff and agencies a reliable starting point so they do not independently invent descriptions. Store private account information separately; the public website needs useful business facts, not passwords, identity documents or sensitive client details.

Resolve contradictions at their source

Inventory the pages and profiles that describe the business. Begin with sources customers actually use and those appearing in the answers you are reviewing. Record the conflicting fact, the correct fact, the responsible owner and the update route. An old number on a prominent directory deserves attention before tiny punctuation differences across obscure listings.

For an illustrative service company, compare a website claiming weekday appointments with a profile saying open around the clock. Establish whether the latter means phone reception, emergency dispatch or actual on-site availability. Rewrite the public wording to match the operation, and make the distinction explicit where customers need it.

Do not delete accurate specialist information just to make every description identical. A practitioner biography, a service page and an organization profile have different purposes. They should agree on the business facts while explaining the relevant context in their own way.

Keep evidence and maintenance connected

Publish supporting detail where it helps a decision: who provides a service, how coverage works, which project types are accepted and what happens after an enquiry. Use descriptive links between the business overview, service pages and relevant people. A reader should be able to follow a claim to a useful explanation.

Assign review triggers such as a move, new telephone number, changed qualification, discontinued service or altered opening arrangements. Check the public result after updates rather than assuming a form submission applied successfully. Keep a dated change log so someone investigating an outdated answer can distinguish an uncorrected source from a system that has not reflected the change.

Questions and answers

Does every directory description need to be identical?

No. The underlying facts should agree, but different platforms allow different levels of detail and serve different readers. A short profile may summarize services while a website explains limitations, process and suitability. Exact repetition is not the objective.

Prioritize contradictions that could mislead people: wrong contact details, an old address, an unsupported credential or a service no longer offered. Keep a record of the authoritative information and who can update each source. This is a more useful maintenance process than spending time forcing identical wording into fields that were designed for different purposes.

Which information should I correct first?

Correct errors with the greatest customer impact first. A wrong phone number, a location that no longer receives visitors or an inaccurate emergency-service claim can directly waste an enquiry. Next address misleading service scope, qualifications and ownership details on prominent sources.

Use the evidence from actual customer confusion and your assessment of public answers to set priorities. Record which source contains each error, whether you control it and how a correction can be verified. Small formatting inconsistencies can wait while substantial inaccuracies remain. The result should be a clear, usable public record rather than a cosmetic consistency score.

Will adding schema fix inaccurate AI answers?

Schema can express structured facts about a page or organization, but it does not give you control over an AI answer. Correct the visible information first, then ensure any structured data describes the same reality. Conflicting markup creates another version of the problem.

If the error appears to come from an old directory, changing only your own markup leaves that source untouched. Investigate the visible evidence, correct the appropriate record and verify publication. Treat structured data as one part of clear information management. Do not add invented ratings, credentials or relationships in the hope that a system will adopt them.

How should a business handle a rebrand or name change?

Document the new identity, effective date, continuing services and which public records need updating. Preserve a clear explanation of the relationship between the old and new names when customers need it to recognize the same business. If website URLs change, plan redirects and update internal links rather than simply abandoning the old pages.

Coordinate website, profile and directory changes with the people who control those accounts. Keep the old and new contact routes under review during the transition where feasible. Check actual public results and enquiries for confusion. A name change is an information-maintenance project, not just a logo replacement.
